Communication Changes

Good news everyone! We are reducing the amount of paper mailings that you will be receiving. 

The State of Colorado is adopting the Zix email encryption system. This will allow us to send you email securely through our own email system. We will be using this to replace many of our mailed documents such as patient lists, staff lists and other sensitive documents that are mailed. This means you will have more time to respond as you should be receiving the patient, staff and deficiency lists all at once, instead of having to wait days for the mail to arrive after we release the deficiency list to the portal. 

When you receive a secure message it will come from stateofcolorado.notification@zixmessagecenter.com. The message will have a link for you to click on to view the message. The first time you do this you will need to create a Zix portal account. If needed, you can find help for this on the Zix Website. Once you have logged in you will be able to view the message and download attachments.

These messages will only be sent to the Portal Account Administrator's email address that we have on record in the portal system. Since patient and staff lists are an integral part of the plan of correction process, please make sure your Portal Administrator Account information is up to date and accurate. You can update the information in the left navigation column using the "My Account Setup" section. 

Lastly, messages that do not contain sensitive information and do not require a time sensitive response, such as zero deficiency notifications and letters of compliance, will be sent directly to the Portal Administrator Account email address. These notices will be emailed instead of being posted in the portal message center or mailed. We will no longer be mailing the majority of survey, certification, and licensing documents.
